User Management

Alithya GoTest allows admin users to add or remove users and assign access privileges within their instance, depending on the license requested when purchasing Alithya GoTest.
To access the User Management option within Alithya GoTest, click on the main menu button located on the top right-hand side of the screen, and then select "User Management".


Role Mappings (Permissions)

There are only 4 roles that should be used when administering user access or permissions.
Roles such as quality assurance analysts, systems analysts, developers, and managers are listed. It is important to understand that these titles refer to the roles played by one or more Alithya GoTest users. As well, a user may play one or many of these roles.
These terms are used because they are similar to titles for quality specialists used on the market.
All functions in Alithya GoTest are available to all the roles, except for administrator and library manager. Apart from these, there are no access restrictions, regardless of the user's role.
 

ROLES

PERMISSIONS

User

Documentation, scripting, running executions, creating, editing, and deleting: components, tags, variables, datasets, and analyzing results.

Library Manager

User role + capability to update the libraries used in the Keyword component.

Operator

User role + capability to manage users for the tenant he/she is assigned to.

Administrator

All the rights of the other roles + access to all instances + User Management Audit Logs access + Execution Cleanup + Access to locked components + create a new tenant of the software.

Users

When accessing the User Manager section of Alithya GoTest, the user is immediately taken to the individual user-management panel.
Only an Operator or an Administrator can create, edit, and delete users.

Adding a User

To add a user to Alithya GoTest, click on the button [ |
This will open the user creation form.

User Information

The following information is required to create a user.

  • Email / User Name

The user's email address will be used as the account user name.

  • First Name

The name of the user with the first letter capitalized. (If the user has a second name, it can also be added here, but not in the User Name section).

  • Last Name

The last name of the user. (If the user has a second last name, it can also be added here, but not in the User Name section).

  • Tenant

The tenant is a subset of projects that restricts usage to members of the tenant.

  • User Enabled

Make sure this button is toggled to "enabled." A disabled user cannot log into Alithya GoTest even if their profile is still registered and exists in the tool.

  • Email Verified

It is used to send an email to the user to verify that the email address exists and is valid, so it can be used for password reset messages.
When the button is toggled to on, the moment the user is saved, an email verification will be sent to the user.

  • Require User Action

This section is used to add specific user actions that need to be done when the user logs into Alithya GoTest for the first time. The only actions used are:

  • Update Password

When a user logs into Alithya GoTest for the first time, it prompts the user to update the password to a password of their choosing.

  • Update Profile

When a user logs into Alithya GoTest for the first time, it prompts the user to update their personal information.

  • Email Verification

When a user logs into Alithya GoTest for the first time, it sends an email verification.

Adding a Tenant

The administrator can add a tenant by entering a new tenant name when creating a new user, instead of selecting an existing one.

User Credentials

Credentials refers to user password, password unlock, and password reset.
 

Manage Password

Only an operator or the administrator can modify the password of other users.
A standard user can modify their own password.
When the Temporary button is toggled to "ON," the given password will be temporary until the user's next login, at which time Alithya GoTest will prompt the user to change the password.

Disable Credentials

This option is only available for the dev team.

Credential Reset

This option sends a notification to the user that the password has been reset and a new password needs to be created.
An action must be selected in the Reset Actions field. This also includes profile update options.
Expiration time can be added for this option if needed.
Finally, when both options are filled, the button to send an Email becomes enabled, and when the user clicks it, the user will receive an email from Alithya GoTest asking for the Password Update.

Enterprise Access

Some Alithya GoTest licences allow companies with a large number of users to have a self-registration option.
With this type of access, a user can simply self-register by filling out the following user form.
Note that only an operator can modify or delete an existing user after the user has self-registered.
